For Service Fusion shops

Your past-due invoices, chased every day. Not by you.

Billhound reads your open invoices from Service Fusion every weekday morning and follows up by text and email, in your name and from your number, at 3, 7, 15, 30, 60 and 90 days past due. You approve the wording once. You get one email on Monday with what got paid.

How it works

Set it up once. It runs every weekday.

  1. 1

    Connect Service Fusion

Create a read-only API key and send it over. About 10 minutes. Billhound can see your invoices; it can't change anything in Service Fusion.

  2. 2

    Approve six messages

One message for each stage, written in your shop's voice. Edit anything you want, approve once, and they go out from then on.

  3. 3

    Read one email a week

Every Monday: what went out, who replied, what got paid, and which invoices move to the next stage. Reply to pause anyone.

The cadence

Friendly first. Firmer as it ages.

  1. Day 3
    Heads-up

A friendly note and a link to pay. Most people just forgot.

  2. Day 7
    Reminder

A week past due. "If you've already paid, thank you."

  3. Day 15
    Settle it

Asks to get it settled this week, and if there's a problem with the work, to say so.

  4. Day 30
    Date, please

Pay today or reply with a date you can expect it.

  5. Day 60
    Last automated

Last automatic reminder before the owner calls directly.

  6. Day 90
    Call us

Asks them to call today to talk options. Then it goes to you.

Anyone who replies "I'll pay Friday" gets skipped, not nagged. Messages go out between 9 AM and 7 PM your time, and STOP is honored right away.

What it won't do

It won't make you look like a collection agency.

  • Text anyone who hasn't done business with you.
  • Contact your builders or commercial accounts unless you turn them on.
  • Threaten anything you wouldn't actually do.
  • Make you log into another dashboard.

Who's behind it

Built by a contractor, for contractors.

Billhound started inside an HVAC company in Fort Worth that had too many invoices sitting past 30 days and nobody whose job it was to chase them. We built the follow-up we needed, ran it on our own book, and now we set it up for other shops on Service Fusion.

Free A/R audit

15 minutes. Your aging report. A straight answer.

  • We look at your 31–60, 61–90 and 90+ day balances together.
  • We set aside builder and commercial accounts.
  • You get a straight number for what's worth chasing, and we tell you if it isn't worth it.

We'll only use this to set up your audit. No list, no spam.

Questions

Straight answers.

Will this annoy my customers?

The first message is a friendly heads-up with a link to pay, and most past-due invoices are people who forgot. You approve every message before it goes out, anyone who says they'll pay gets skipped, and messages only go out during the day.

Is Billhound a collection agency?

No. Every message comes from your business, about your own invoices, to people who are already your customers. Billhound never buys, owns or collects debt in its own name.

Do I need Podium or another texting tool?

No. If you already text customers from a number, we can use it. If not, we set up a texting number for your shop as part of setup.

What about builders and commercial accounts?

They're off by default. You can turn on specific accounts, and those get gentle reminders only.

We're not on Service Fusion. Can we still use it?

Service Fusion is the only one we connect to today. Put your software on the form anyway; we're deciding what to support next based on who asks.
